Position: Journey Management And Security Control Room Coordinator

EACOP runs 1,443km from Kabaale, Hoima district in Uganda, to the Chongoleani Peninsula near  Tanga Port in Tanzania. 80% of the pipeline is in Tanzania. It is a buried thermally insulated 24″  pipeline along with six pumping stations (two in Uganda and four in Tanzania) ending at Tanga with  a Terminal and Jetty. Here, crude oil will be loaded onto tankers The Journey Management &  Security Control Room Coordinator will play a crucial role in ensuring the safe and efficient planning,  execution, and monitoring of journeys taken by our employees, vehicles, and equipment, as well as  the monitoring of security communications and CCTV systems. The ideal candidate will have a  strong understanding of logistics, safety protocols, and regulatory compliance. This role requires  excellent communication skills, a proactive approach to problem-solving, and the ability to work  collaboratively with various stakeholders. 

Key Responsibilities:

Journey Planning:

  • Collaborate with operational teams to plan and schedule journeys, taking into  consideration factors such as distance, travel time, rest stops, and route  optimisation. 
  • Ensure compliance with company policies, local regulations, and safety standards  while planning journeys. 
  • Utilise journey management software and tools to create detailed travel itineraries  and share them with relevant personnel.

Safety and Compliance:

  • Maintain a deep understanding of safety regulations, road conditions, and travel  advisories for different regions. 
  • Conduct pre-journey safety assessments, ensuring that vehicles and equipment are  in proper working condition. 
  • Verify that drivers possess valid licenses, required certifications, and adequate  training to operate vehicles safely. 

Monitoring and Communication:

  • Monitor the progress of journeys in real time using tracking systems and  communication tools.
  • Address any unexpected disruptions, delays, or emergencies by coordinating with  drivers and relevant teams. 
  • Communicate timely updates to stakeholders, providing information about journey  status, estimated arrival times, and any changes to the itinerary. 
  • Monitoring the security communications system, including radios, mobile phones,  SMS, chat groups, etc. 
  • Monitoring the site CCTV system. 
  • Monitor critical areas and promptly report any suspicious activities to relevant  supervisors, enhancing our ability to prevent potential security threats. 

Documentation and Reporting:

  • Maintain accurate records of journey details, including departure and arrival times,  route taken, rest periods, and any incidents. 
  • Generate reports on journey performance, compliance metrics, and safety incidents  for management review. 
  • Identify trends and opportunities for improvement based on data analysis. Generating daily CCTV reports, including occurrences, and camera faults, etc. 
  • Maintaining accurate and comprehensive records of all incidents, responses, and  actions taken and providing detailed post-incident reports for internal review and  external reporting as required

Stakeholder Collaboration:

  • Work closely with operations, logistics, and HSE (Health, Safety, and Environment)  teams to ensure seamless coordination of journeys. 
  • Liaise with external partners, such as transportation providers and regulatory  authorities, as needed. 

Emergency & Incident Response:

  • Respond promptly to emergency situations, incidents, and crises and coordinate all  necessary actions to mitigate and resolve them effectively. 
  • Ensuring that all emergency and incident response activities adhere to relevant  regulations, laws, and industry standards. 
  • Conducting in-depth reviews of incidents to analyse their root causes, the  effectiveness of response efforts, and identifying areas for improvement to enhance  future incident response strategies. 
  • Ensure continuous coverage of the Security Control Room (SCR), never leaving it  unattended, thereby maintaining an unwavering eye on security operations.

Confidentiality and Support:

Qualifications and Requirements:

  • A bachelor’s degree in a related field is a plus. 
  • Proven experience in security within the project sector. 
  • Strong knowledge of journey management principles, safety protocols, and regulatory  requirements. 
  • Familiarity with journey management software and tracking tools. 
  • Familiarity with CCTV systems and CCTV management software  
  • Excellent communication skills, both written and verbal. 
  • Strong organisational skills and attention to detail. 
  • Ability to manage multiple tasks and priorities simultaneously. 
  • Proficiency in using computer applications and software for data management and  reporting. 
  • Problem-solving skills and the ability to make sound decisions under pressure. Team player with the ability to collaborate effectively with cross-functional teams. 
  • Flexibility to work non-standard hours when needed, especially during emergencies or  unexpected events.
