Tour Consultant

Specific responsibility/day-to-day activities

Tour Consultant reports directly to the Team Leader in their market cluster.

Bookings Management:

  • Accountable for the daily processing of all relevant incoming requests, according to set standards.
  • Receive inquiries, open tour files, evaluate and respond, prepare quotations
  • Confirming bookings, processing all administrative functions such as booking tours, making reservations, receiving confirmations, reconfirmations, maintaining tour files, invoicing Agent
  • Issue vouchers as applicable to suppliers.
  • Attend to all supplier queries relating to tour files
  • Prepare tour file, guest envelope, book vehicle; calculate water allowance, brief tour guide on all pertinent aspects of the tour.
  • Ensuring all tour-related data is input into the Tourplan System.
  • Complete all final activities before closing files.
  • Ensure all booking SOPs are adhered to.
  • Develop and maintain close agent relationships.
  • Updating all received requests on the Hub on a timely basis.
  • Ensuring that Agent / VIP tours are communicated to the Team Leader well in advance.
  • Informing the Team Leader on challenges the team members could be facing, including payment delays and waitlists to get solutions in good time.
  • Assisting and guiding other consultants daily as required by the Senior Consultant/Team Leader.
  • Conduct regular quality assurance checks to ensure all files are consistently and accurately updated electronically and in physical files.
  • Communicate closely with the Team Leader and Head of Reservations
  • Assisting with tasks and any other duties as required by the Team Leader/management.

Quotations:

  • Acknowledge agents’ emails and prepare accurate and detailed tour proposals promptly.
  • Timely acknowledgment and actioning of tour requests from agents as per set guidelines (24-hour acknowledgment on receipt of email).
  • Ensure accuracy in tour package offers.
  • Prepare creative and detailed proposals in the right format.
  • Ensuring all quotations are captured in the Tour plan.
  • Ensuring quick turnaround time and professional communication
  • Conversion rate of 15% or more.

Reservations:

  • Ensure bookings are captured correctly in Tour Plan and all services are booked.
  • Ensure that bookings are correctly captured in the Tour Plan and supplier vouchers are dispatched promptly.
  • Understand and correctly process cost and gross prices in your plan.
  • Pursue better yielding on file revenue by negotiating with suppliers for better rates, cancellation fees, and FOCs.
  • Ensure bookings are balanced in the tour plan.

Streamline File Operations:

  • Preparation of booking documentation as per the set guidelines
  • Compile high-quality documentation for clients without errors
  • Ensure handover documentation to operations teams is done 14 days (2 weeks) before clients’ arrival.
  • Prepare File checklist 45 days (1 and a half months) before file operations.

Financial Control:

  • Ensure costs are captured correctly on the Tourplan, files are invoiced and have correct margins.
  • Constantly ensure margin control for each agent as per the set mark-up guidelines in the tour plan.
  • Ensure all bookings are invoiced on the Tourplan by the month’s end.
  • Ensure payments to suppliers on prepayment are made promptly.
  • Minimize Credit Note refunds on files due to misquoting or booking of incorrect services.
  • Ensure files are paid for by agents without credit facility promptly.

Minimum requirements

  • Relevant degree-level education preferably in Tourism and Hospitality Sectors.
  • Minimum of 2 years’ experience in a similar role.
  • Strong Communication skills; both verbal and written formats
  • Strong Customer Service and Excellent interpersonal skills across all levels
  • Attention to detail and with an analytical mind
  • Time Management and Organization Skills
  • Stress Management and conflict-handling skills
  • ICT Proficien
  • Proficiency in English and a foreign language will be an advantage.
