Job Summary:
The Scholarship Coordinator (SC) ensures the smooth operation of the scholarship and sponsorship programs at the Jane Goodall Institute Tanzania. The SC is responsible for broadly advertising scholarship opportunities, organizing and supporting scholarship selection committees, coordinating scholarship awards, and monitoring, mentoring, and supervising students’ progress at their place of study. Duties also include facilitating students’ scholarships and sponsorships with their schools/colleges or universities (secondary schools to higher learning institutions). The SC is also responsible for preparing and facilitating fund disbursements for school fees, accommodation, and other costs, and maintaining the student’s database up to date. Additionally, the SC is responsible for identifying and potentially establishing new scholarship funds and working on proposal writing if needed. Responsibilities include follow-up on student attendance and performance at schools, organizing school visits, organizing annual meetings for students, arranging counseling sessions, and providing advice on areas of study selection. The ideal candidate is highly organized, detail-oriented, and able to manage multiple tasks and deadlines simultaneously.
Key Job Responsibilities & Duties:
- Facilitate Sensitization and Awareness Meetings:
- Spotlight scholarship opportunities.
- Arrange for Advertising Scholarship Opportunities:
- Advertise scholarship opportunities as they arise.
- Primary Point of Contact:
- Serve as the primary JGI Tanzania point of contact for all communication with students, parents, school, and academic representatives.
- Organize and Facilitate Selection Committees:
- Organize and facilitate scholarship selection committee meetings and panels to choose exceptional candidates using an established selection criterion.
- Ensure Transparent and Fair Selection:
- Ensure the transparent and fair selection of students.
- Inform Selected Students:
- Ensure selected students are informed of scholarship or sponsorship awards.
- Fund Processing and Disbursement:
- Ensure that funds are processed and disbursed in a timely manner.
- Monitor Student Progress:
- Monitor students in their academic settings to evaluate their progress and assist with any challenges they may face.
- Ensure Submission of Results:
- Ensure students submit results statements for each semester or term.
- Coordinate Scholarship Awards:
- Coordinate scholarship awards and maintain contacts with schools, students, and parents for those under 18 years of age.
- Conduct Annual Meetings:
- Conduct an annual meeting of all scholarship recipients to share lessons learned, obtain training in life skills, and participate in a community service or conservation project.
- Maintain Contact with Parents or Guardians:
- Keep close contact with parents or guardians.
- Prepare and Submit Reports:
- Prepare and submit activity reports and an annual report in a timely manner.
- Budget Management:
- Ensure that expenditures are within the established program budget.
- Identify and Establish Scholarship Funds:
- Identify and potentially establish new scholarship funds and sponsorships.
- Research Partnerships:
- Research potential partnerships with academic institutions.
- Proposal Writing:
- If needed, contribute to the writing of proposals to increase funding opportunities.
- Stay Current with Trends:
- Stay current with trends, best practices, and other regulations related to scholarship grant-making.
- Program Evaluation:
- Evaluate JGI Tanzania’s scholarship and sponsorship program on an annual basis.
- Additional Duties:
- Perform any other duties as assigned by the supervisor.
Minimum Job Qualifications & Other Requirements:
- Education:
- Bachelor’s degree in Community Development, Sociology, and/or Education.
- Experience:
- Work experience of 3 to 5 years in community development.
- Working knowledge in gender issues.
- Skills:
- Ability to work under pressure, meet deadlines, and work independently with little supervision.
- Computer literate with the ability to use data analysis programs as well as MS-Word, MS-Excel, MS-PowerPoint, MS-Outlook, etc.
- Self-disciplined, mature, open-minded, and flexible.
- Excellent written and verbal communication skills, fluent in written and spoken English and Swahili.
- Management and budgeting skills with the ability to work under minimal supervision.
- Excellent interpersonal skills with a proven ability to develop and maintain effective relationships.
- Excellent analytical, administrative, computer, and problem-solving skills.
- Demonstrated ability to maintain a high degree of professionalism and integrity, both within and outside the work environment.
- Good report-writing skills.
