Job Title: People & Culture Officer
Position Type:Staff Position
Reports to: Human Resource Generalist
Job Location: Arusha, Tanzania
Objective of the Role: To provide comprehensive support to the Human Resource Generalist in managing administrative HR functions.
Main Activities:
- Manage and update personnel files, ensuring all necessary documents are accurately maintained.
- Complete employee forms for NHIF, NSSF, and bank registrations.
- Maintain administrative records related to attendance, sick leave, annual leave, compassionate leave, maternity & paternity leave, absenteeism, permissions, and monitor compliance with established policies.
- Handle disputes, issue warning letters, and conduct disciplinary hearings according to company protocols.
- Communicate relevant information to employees through various channels.
- Input payroll data accurately and efficiently using designated systems and methods.
- Assist in generating numerical data to support the preparation of HR metrics reports.
- Fulfil any additional tasks assigned by management as required.
- Observe and work according to all GSPP and farm protocols
Specific Tasks:
1.Create and maintain employee files, including necessary documents such as the new employee’s checklist, contract changes, training certificates, evaluations, sick sheets, payslips, and register them in the IBMS system, facial recognition system, and fingerprint system.
- Ensure all new employees are registered with NHIF insurance, NSSF, possess relevant cards and numbers, and maintain active bank accounts.
- Maintain cleanliness and ensure adequate stock of food items and stationery in the green office.
- Manage stationary inventory by ordering, receiving, and issuing supplies, ensuring sufficient stock levels to prevent shortages.
- Perform administrative tasks using the IBMS HR module, including updating sick sheets, attendance registration, and daily time sheets, while ensuring proper procedures for leave approval and monitoring leave records to prevent abuse.
- Assist in resolving disputes, issuing warning letters, and conducting disciplinary hearings, adhering to established protocols and taking necessary actions within the limit of warnings issued.
- Disseminate information to employees through notice boards or talks.
- Assist in opening and closing workshop doors when necessary.
- Assist the Human Resource Generalist with day-to-day HR administrative tasks.
- Manage and safeguard employee records with accuracy and confidentiality.
- Prepare payroll inputs for large teams using ERP systems and offline methods.
- Generate various payroll and HR metrics reports, ensuring data accuracy.
- Ensure compliance with Tanzanian labour laws and regulations in all HR processes.
- Facilitate onboarding and orientation processes for new hires.
- Address employee inquiries and concerns regarding HR policies and procedures.
- Assist in organizing employee engagement initiatives and events.
- Collaborate with other departments to promote a positive work culture and enhance the employee experience.
- Work according to GSPP and farm protocols. Propose protocol changes if applicable. Observe health & safety protocols.
- Handles all other responsibilities that may be assigned by management
Qualifications and Skills:
Seeking an exceptionally articulate candidate adept at navigating and manipulating numbers within a fast-paced, data-centric environment. This individual must possess the capacity to produce meticulously accurate and error-free data for HR metrics reports, alongside a proven track record in payroll processing within sizable teams.
Key qualifications include:
– A Bachelor’s degree in Actuarial Science, Human Resources, or a related field.
– Minimum 5 years of comprehensive experience as a People and Culture Officer, with a deep focus on payroll preparation and the generation of intricate HR metrics reports.
– Exceptional attention to detail and organizational prowess.
– Superb communication and interpersonal skills.
– Extensive background in operating within highly data-driven contexts, consistently delivering crystal-clear, precise, and error-free data.
– Proficiency in utilizing HR ERP systems.
– Familiarity with labor laws and regulations.
– Capacity to uphold confidentiality and exercise discretion.
– Proficiency in both English and Swahili languages.
