African Initiatives for Relief and Development (AIRD)

The African Initiatives for Relief and Development (AIRD) is a non-political, non-religious, and non-profit NGO. AIRD’s objective is to offer operational technical support, including but not limited to: supply chain, logistics, and infrastructure in partnership with relief and development organizations that focus on disaster-affected, poverty-infested, and development-oriented areas.

AIRD delivers for and through partners, including but not limited to UN Agencies, international and national donor organizations, and governments.

AIRD Tanzania Program is seeking qualified National Personnel for the following position:

Position: Snr Data Encoder – AIRD, Tanzania Program

Location: Kibondo

Reporting to: Country Operations Manager

Key Responsibilities:

The Snr Data Encoder will play a crucial role in the accurate and timely entry of data into the Enterprise Resources Planning (ERP) System. The incumbent will maintain data integrity and conduct quality checks.

General Duties

Data encoding (store report, workshop report, and production of any other reports) in the ERP system.
Preparation of all workshop and stores monitoring reports.
Preparation of vehicle maintenance database, statistics, invoices, and reports.
Prepare a database of Project Non-Expandable properties.
Manage all movement of spare parts in the store using a comprehensive ERP system.
Provide technical user-support services and upgrades of the software.
Ensure data recovery and protection is regularly performed, including regular system back-ups on all computers.
Adhere to occupational safety, health, and environmental regulations to minimize risks of personal injury and accidents.

Data Entry

Record issues and receipts of spare parts through the ERP system.
Supervise and collaborate with the Assistant Data Encoder to address data accuracy or completeness issues.

Documentation

Produce reports from the ERP system as required and when requested.
Prepare weekly and monthly reports for vehicle maintenance, fuel, and transport, using data extracted from the ERP system.
Identify and troubleshoot data quality issues, recommending and implementing solutions to improve data accuracy and reliability.

IT Support

Installation and programming of computer systems, software, and connectivity to computer networks.
Troubleshoot network malfunctions efficiently.
Monitor and optimize the performance of office equipment, including scanners, printers, computers, and the CCTV system.
Update antivirus software on all computers in the office.

Minimum Qualifications

Diploma in Computer Science or equivalent.
Knowledge of database use and management.
Strong communication skills, both written and verbal.
Strong attention to detail and accuracy in data entry.
Excellent organizational and time management skills.

Professional Experience

A minimum of 3 years of relevant experience in Data Management and ICT.
Familiarity with ERP systems is an added advantage.
